Project Documentation Policy
Purpose
To ensure every project is clearly defined, well-structured, and documented for consistency, collaboration, and accountability across all team members.
Mandatory Project Document Inclusions
1. Project Description - A brief overview of the project, its purpose, and intended
value.
2. Project Objective - Specific, measurable goals the project aims to achieve.
3. Project Tasks - Tasks must be updated in the project management tool and reviewed by the PM. Detailed list of all tasks including task name, description, subtasks, documents, and due dates.
4. Work Methodology - Clearly defined process (Agile, Waterfall, Hybrid, etc.) used to
manage the project and execute deliverables.
5. Flow Diagram - .Visual representation of high-level logic, process flow, or system interaction
6. Workflow Diagram - .Step-by-step diagram showing task sequences, responsibilities, and handoffs
7. Project Scope - Defined boundaries of the project including in-scope and out-of-
scope features.
8. Project Tools - List of software/tools used (e.g - Figma, GitHub, Postman, etc.).
9. Programming Language & Tech Stack - Specify backend, frontend, frameworks,
and libraries in use.
10. Dependencies - List all internal and external dependencies (e.g., APIs, third-party
tools, external approvals).
11. UI/UX References - Include wireframes, mockups, design files, and other relevant
visuals
Communication & Review
1. All documents must be submitted to the Project Manager for review.
2. Feedback must be addressed, and updated documents must be resubmitted.
3. Formal communication is required for all major document updates or changes.
Compliance & Performance Impact
1. Proper documentation is mandatory for all projects .
2. Documentation quality and timeliness will be assessed in monthly performance
reviews .
3. Non-compliance may impact project approval, handover, or future assignments.
4. Documentation quality is a key factor in your performance evaluation and
hiring consideration within the organization.
