Leave Policy

Purpose

This policy defines the leave entitlement, approval process, and attendance expectations for all employees, ensuring consistency, accountability, and operational continuity throughout the engagement period.

Leave Entitlement

One Leave Per Month

Employees are entitled to a maximum of  one paid leave per month  during the engagement period.

  • This entitlement includes both  personal leave and sick leave .
  • Unused leave may be carried forward to the subsequent month, subject to management approval and operational requirements.

Leave Approval Process

Planned Leave

Planned leave:

a) Must be requested at least  one week in advance  via email.

b) Is subject to approval by the  Project Manager (PM)  or reporting manager.

c) The leave request must clearly mention:

  • Date(s) of leave,
  • Reason for leave, and
  • Confirmation of task handover or coverage arrangements.

Emergency Leave

Emergency leave:

a) May be granted in genuine emergency situations with  at least one day’s prior notice , wherever possible, along with a valid reason.

b) Approval will be at the sole discretion of the PM or reporting manager.


Consecutive Leave and Holiday Restrictions

To ensure business continuity and adequate resource availability:

  • Employees are  not permitted to take consecutive leave immediately before or after a public holiday, weekend, or any declared company holiday  without prior written approval from management.
  • Leave taken to create an extended break by combining leave with weekends or public holidays (commonly known as “sandwich leave”) is generally discouraged and may be rejected based on business requirements.
  • Any exception to this policy must receive prior approval from the PM and management.

Unapproved Leave and Absenteeism

  • Taking leave without prior approval will be considered an  unauthorized absence .
  • Two instances of unauthorized leave within a month may result in a formal warning and may impact future engagement opportunities.

Work-from-Home (WFH) and Sick Days

  • Working from home due to health or personal reasons is permitted only with prior approval from the PM and is limited to  a maximum of one day .
  • Approved WFH will be counted as leave unless:
    • Productive work output is demonstrated and confirmed by the reporting manager, and
    • Prior approval for WFH has been obtained.

Compliance and Performance Impact

  • Adherence to this leave policy forms part of the monthly performance evaluation process.
  • Unauthorized, excessive, or non-compliant leave behavior may negatively impact:
    • Performance ratings,
    • Future hiring eligibility, and
    • Consideration for full-time employment opportunities.
  • Consistent compliance with attendance and leave procedures demonstrates professionalism and strengthens eligibility for future opportunities.

Public Holidays

Public holidays shall be observed as per applicable  Government of India and respective State Government guidelines .

The official list of public holidays will be published and circulated at the beginning of each calendar year.
