Employee Attendance Policy
1. Purpose
The purpose of this policy is to ensure punctuality, attendance discipline, availability, and accountability of all employees while maintaining uninterrupted business and client support.
All employees are expected to follow the prescribed working hours and attendance procedures.
2. Working Hours
The standard working hours are:
10:00 AM to 7:00 PM
Employees are required to be available and working during these hours, except during approved lunch and tea/coffee breaks.
-
Employees are expected to report to work and complete their daily attendance through the company's designated attendance system.
-
Regular and punctual attendance is an important part of employee performance.
-
Employees should be ready to commence work at 10:00 AM, rather than arriving at 10:00 AM and then beginning their workday.
-
Any requirement to work outside the standard working hours due to client/project requirements may be communicated by the Reporting Manager/Project Manager.
3. Punch-In and Punch-Out
All employees are required to punch in at the time of starting work and punch out at the end of the working day.
-
Punch-in must be completed on or before 10:00 AM.
-
Punch-out must be completed after completion of the working day.
-
Employees must not punch in/out on behalf of another employee.
-
Missing punch-in or punch-out must be immediately reported to HR with a valid reason.
-
Repeated failure to record attendance may be treated as an attendance violation and may impact salary processing and performance evaluation.
-
Attendance records maintained by the company will be considered the official record for attendance and payroll purposes.
4. Late Coming and Early Leaving
-
Employees arriving after 10:00 AM will be considered late.
-
Employees leaving before the scheduled working time of 7:00 PM must obtain prior approval from their Reporting Manager/PM.
-
Repeated late coming or early leaving without approval may result in disciplinary action and may negatively impact the employee's performance evaluation.
-
Management may review repeated attendance deviations and take appropriate action in accordance with company rules.
5. Lunch Break
Employees are entitled to a maximum lunch break of 40 minutes per working day.
-
Employees must return to work immediately after the lunch break.
-
Lunch breaks should be staggered within teams to ensure continuous business and client coverage.
-
Employees must not extend the lunch break without prior approval.
-
Lunch breaks must not result in missed client calls, meetings, or important work commitments.
6. Tea/Coffee Break
The company will provide two tea/coffee servings per working day.
Employees may take short tea/coffee breaks during the working day, with the total tea/coffee break time limited to 10–15 minutes per day.
-
Employees should manage the two breaks within the total permitted duration.
-
Tea/coffee breaks should be short and should not affect productivity or client support.
-
Employees must return to their workstations promptly after the break.
-
Additional or extended breaks require approval from the Reporting Manager/PM.
Group Breaks Not Permitted
Employees are strictly prohibited from taking group tea/coffee breaks where the entire team or a significant number of employees leave their workstations at the same time. Breaks must be staggered to ensure continuous availability for clients and uninterrupted business operations.
7. Work From Home (WFH)
WFH is a facility provided by the company and not an employee entitlement.
-
Employees may avail a maximum of 2 WFH days per calendar month, subject to prior approval.
-
Prior written approval from the Reporting Manager/PM is mandatory.
-
The approved WFH must also be properly communicated/recorded with HR and Accounts.
-
WFH employees are required to follow the same working hours of 10:00 AM to 7:00 PM.
-
Employees working from home must remain available throughout working hours and must attend all scheduled client calls, meetings, internal discussions, and project activities.
-
WFH employees are required to maintain the same level of productivity, responsiveness, and accountability as employees working from the office.
-
WFH does not permit additional breaks, reduced working hours, or unavailability during working hours.
No Prior Approval = Leave
Any employee working from home without prior approval, or failing to complete the required HR and Accounts attendance process, may have the day treated as leave/unauthorized absence and may be subject to salary adjustment as per applicable company rules.
8. Availability During Working Hours
Employees are expected to remain available during official working hours.
During 10:00 AM to 7:00 PM, employees must:
-
Be available on official communication channels.
-
Attend client calls and meetings.
-
Respond to work-related communications promptly.
-
Remain available for urgent project requirements.
-
Complete assigned work within agreed timelines.
-
Inform the Reporting Manager immediately in case of any issue affecting availability.
9. Attendance and Performance
Attendance and punctuality will form part of the employee's monthly performance evaluation.
The following may negatively affect performance evaluation:
-
Repeated late coming;
-
Unauthorized absence;
-
Missing punch-in/punch-out;
-
Frequent early leaving;
-
Extended lunch or tea breaks;
-
Unapproved WFH;
-
Unavailability during working hours;
-
Missing client calls or meetings; and
-
Failure to maintain expected productivity.
10. Policy Compliance
All employees are responsible for complying with this policy. Any repeated or deliberate violation may result in appropriate corrective or disciplinary action.
The expectation is simple: Be on time, remain available, take reasonable breaks, support the client, complete your work, and maintain professional attendance discipline.
